Executive Assistant

Sport Oregon

Sport Oregon is currently seeking an Executive Assistant to provide administrative support to our non-profit organization in a variety of capacities. The Executive Assistant will serve as a key point of contact for Sport Oregon members, board members and other stakeholders, helping to further our mission to drive economic growth and enhance Oregon’s quality of life through sports.

Core Responsibilities:

• Manage all board and committee meetings, including scheduling, venue coordination, communication with attendees, develop agenda and record meeting minutes, etc.

• Provide administrative/secretarial support to Sport Oregon CEO, including scheduling appointments, document creation/editing, answering phones, welcoming office visitors, management of office supplies and equipment, and various administrative responsibilities

• Collaborate with accounting contractor to manage membership invoicing and dues collection, as well as invoicing and collection for other forms of revenue

• Fulfill all member benefits, including ticket distribution, and the organization of member events

• Provide administrative support to help prepare Sport Oregon event bid proposals

• Manage Trail Blazers Reward Youth Ticket Exchange program and similar community impact programs

• Demonstrated ability to meet deadlines, anticipate needs, prioritize multiple tasks, follow-through, and work independently without supervision while handling frequent interruptions and rapidly shifting priorities

• Demonstrated ability to manage stressful situations with tact and diplomacy and use sound judgment and initiative, particularly as it relates to handling sensitive and/or confidential information

• Ability to communicate and work effectively with a broad spectrum of people in stressful or difficult situations

• Demonstrated commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment

• Demonstrated ability to manage tasks where successful collaboration and coordination with others is essential for operations

• Demonstrated ability to manage several requirements or projects simultaneously

• Excellent oral and written communication skills

• Demonstrated working knowledge of Microsoft Office applications

• Self-motivated, punctual, reliable, organized and flexible

Education and Experience:

• A four-year degree from an accredited college or university – preferred

• A minimum of three years of experience in an administrative capacity

Compensation:

• Annual salary of $45,000 to $50,000 based on experience
