Finance Operations Manager

Portland Product Werks (PPW)



Reporting to the PPW President, the Finance Operations Manager will be accountable for providing timely and accurate execution and communication regarding invoicing, collections, receivables, payables, budgeting and inventory management. This individual will provide financial information to assist in developing and monitoring budgets, contribute to the analysis of financial reports, and assist in the forecasting of expenditures.

You have strong interpersonal skills and will be able to establish personable, and trusting relationships with customers, vendors, financial institutions and employees. You will be an expert in QuickBooks and PPW’s various platforms and financial management programs (including Excel) and must be able to efficiently create, analyze and format data driven reports on demand.

Excellent communication, both written and verbal, as well as, strong organizational skills, an analytical mind, attention to detail, and a positive, can-do attitude are essential for success in this role.


Accounts Payable Management:

  1. Receive and review all vendor set up requests for accuracy and completeness. Execute the set-up of all contracted parties in our systems.
  2. Utilizing PPW’s accounting Software, input all Accounts Receivable ledger items promptly.
  3. Input and process all credit card payments, confirm transactions, and follow up as necessary.
  4. Execute weekly check run and track all relevant detail for payout.

Accounts Receivable Management:

  1. Manage the detailed credit application process for new accounts. Collect and review applications for new credit and terms extension, by account.
  2. Recommend or deny credit lines based on established credit parameter criteria.
  3. Monitor wire payments and the online banking portal daily for payments due. Reconcile status of accounts and confirm received income vs. outstanding invoices daily.  
  4. Regularly reconcile Accounts Receivable reserves and partner with PPW President and PPW VP of Sales to expedite AP/ AR funds as needed (outside of regular payment calendar) that drive business goals and objectives.

Expenses, Commission and Royalty Payout:

  1. Manage expense submission and tracking  that enables the review, approval and payout of expenses reports. Liaise with PPW Management to review and approve/deny all questionable or unauthorized expenses.
  2. Manage PPWs sales rep commission tracking process. Reconcile and execute commission payouts by sales rep each month.
  3. Ensure expense and commission checks are accurate, approved, and issued on time per individual agreements.  
  4. Ensure Licensing Royalties are accrued and reported quarterly

Inventory Reconciliation:

  1. Record day to day financial transactions and complete the posting process through QuickBooks.
  2. Manage vendor reconciliations for all product received. Track and receive all inventory into QuickBooks.
  3. Allocate freight costs into inventory received by PO.
  4. Ensure Import duties are accurate and applied to the landed cost.
  5. Reconcile, monitor and adjust inventory quantities and value in QuickBooks.

General Accounting Leadership:

  1. Diligently update, monitor and reconcile the general ledger.
  2. Report AP/ AR ledger standings and identify major deviances / issues in balance sheet immediately to PPW Sr. Leadership weekly and / or as needed.
  3. Train, mentor and support outside financial management resources for PPW as needed. Provide access to accounting tools and insight of accounting principles that will facilitate quarterly and fiscal financial reporting.
  4. Close the Quick books file monthly (see checklist) so that Sr. Finance Mgr can prepare monthly financial reports.
  5. Oversee the budgeting and forecasting process for PPW.

Customer Service Excellence:

  1. Develop and maintain excellent relationships with internal team members and our customers.
  2. Serve as client / customer advocate to ensure a high level of satisfaction. Respond to customer inquiries and resolve issues creatively and effectively.
  3. Accurately identify and capture customer problems and requests and engage appropriate stakeholders as needed.
  4. Interface with PPW’s family of Brands Customer Service teams when needed. Set monthly regular calls to ensure a platform for mutual collaboration.  

Process Oversight and Improvement:

  1. Recommend process improvement policies based on a deep understanding of PPW’s accounting guidelines.  
  2. Interact with customers on a regular basis to understand process challenges and customer requirements. Pro-actively suggest solutions that address customer needs in a clear, effective way and follow up to ensure implementation and success.

General Business Functions:

  1. Successfully interact cross-functionally with PPW team leads in Operations, Marketing, Product and Sales to ensure overall business goals are being met or exceeded.
  2. Collaborate closely with key stakeholders in the organization to create business plans that drive the commercial growth of strategic accounts by contributing operational insights and process updates.
  3. Identify and define potential operations opportunities and liaise with appropriate PPW Leadership to develop plans that capitalize on the opportunities.


  1. Degree in Business Administration, Accounting or Finance.  
  2. Strong knowledge of the Outdoor, footwear, and apparel Industry.
  3. Exceptional accounting and credit experience.
  4. Excellent ability to work in QuickBooks including inventory management experience.
  5. Proven ability to build solid relationships and get things done in a small team. Must possess a strong ability to drive results through others.
  6. A team player that can partner with internal and external teams to drive the business goals.
  7. Must be flexible and able to work with tight deadlines, and extended hours when necessary.
